TERMS & COnditions

This is an Agreement between J1 Warehouse, based in Dells, Wisconsin (referred to in this Agreement as "J1 Warehouse"), and the individual taking part in a J1 Warehouse program, called the client hereafter, who must agree to the conditions or they must make it clear if something in the agreement is unknown. The client agrees to these terms upon submitting their online application.

 

J1 Warehouse and Client are collectively referred to in this Agreement as the "Parties."

Article 1(a) Obligations of J1 Warehouse

J1 Warehouse ensures the services that are marketed throughout our website and marketing materials are fully up to date and accurate. We also ensure our clients are fully prepared to be given the best chance of success in their Host Property and Sponsorship interviews.

The key responsibilities of J1 Warehouse include:

  • Fully Screening clients and their documents and references to ensure they meet all programs eligibility and requirements.( Please note J1 Warehouse try to be as detailed as possible when screening our clients however any information that was not forthcoming and affects clients placements  is the responsibility of the client)

  • Preparing clients applications, organizing documentation, resume/CV, cover letters and video applications

  • J1 Warehouse conduct a formal face to face or Skype interview to ensure potential J1 Warehouse clients meet our program requirements

  • J1 Warehouse prepare our clients before any 3rd party interviews (with host properties and visa sponsors) to ensure clients are fully prepared and confident to complete their interview

  • J1 Warehouse communicates all information and notifications from our Partners with our clients to ensure effective communication and understanding on both sides

  • J1 Warehouse’s overall goal is to ensure all eligible candidates that are taken on as J1 Warehouse clients are presented at their very best. First impressions mean everything and at J1 Warehouse we believe in honest and constructive feedback on each application to ensure you are given the very best chance of placement before presenting you to our 3rd Party Partners

​Article 1(b) Responsibilities of Client
  • To fully disclose all details of personal information, education, work experience and previous visas that would affect program eligibility. In addition to collect and submit all supporting documentation, both originals and a translation in English

  • Communicate with J1 Warehouse and J1 Warehouse’s 3rd parties in a timely manner; late responses may jeopardize your chances of placement and may result in a declination of your application

  • Client are not to contact J1 Warehouse’s business partners or affiliates  directly with prior consent of J1 Warehouse

Article 2 Approval Terms & Conditions

​By submitting an application through J1 Warehouse website, Client agrees to these Terms & Conditions

Article 3 Changes to Application

J1 Warehouse reserves the right to terminate clients application without refund for any unreasonable changes requested to participant’s application after completing J1 Warehouse’s initial screening interview and the deposit has been collected. These changes may include: start date of program, end date of program, length of program and type of program.

Article 4 Placement Preferences / Requests

It is very important J1 Warehouse knows your program placement preferences. Participant’s application will be reviewed in the J1 Warehouse screening interview. Any expectations that J1 Warehouse feel they cannot meet will result in a declination from the program with no charge. Special requests are typically not available to participants with program durations of 6 months due to limited availability of internship placements. Third parties may charge client for special requests.

Article 5(a) Placement Process – Full Placement
  1. J1 Warehouse will market partner programs information including placement options, eligibility, fees. Interested and eligible clients submit an application form and resume/CV to J1 Warehouse, please note we cannot guarantee a 100% response rate for participants who apply and do not meet the eligibility criteria.

  2. J1 Warehouse conducts an in depth interview, either face to face or via Skype.

  3. J1 Warehouse screening participants will be informed if they are successful or not within three (3) business days.

  4. For successful participants J1 Warehouse requires a $400 ninety percent refundable deposit for all programs.

  5. J1 Warehouse will start collecting supporting documents after a payment receipt has been sent by Client. Supporting documents may include, but are not limited to a copy of passport, reference letters, financial capability statements and proof of education.  After receiving supporting documents J1 Warehouse organizes a visa sponsor interview/ host interview. Should Clients documents not support information provided in the initial screening interview J1 Warehouse reserves the right to decline participants and retain the initial J1 Warehouse deposit.

  6. If for some reason participants are declined by a visa sponsor J1 Warehouse refunds deposit

  7. J1 Warehouse with our partners will schedule a minimum of three (3) Host Property Placement interviews for all participants based on their initial application requests. Before each interview J1 Warehouse or our partners will send a full recap of the Host Property including housing and rate of pay and any other information. Candidates must then confirm this interview within two (3) business days. Should the participant decline an interview offer, a J1 Warehouse representative will contact the participant to review why the interview was declined to determine if the candidate is required to pay a special placement preference fee (article 5). After each interview a J1 Warehouse representative will contact the participant with feedback of the interview. Full feedback and training will be given for any unsuccessful interviews. J1 Warehouse reserve the right to terminate a participant’s application after two (2) successive unsuccessful interviews with no refund of the application fee.

  8. After successfully completing an interview and having their placement confirmed, clients will be required to complete and sign program paper work with the partner they are working with (if applicable)  and also pay the remaining mediation fees to J1 Warehouse (discussed in the initial screening interview and confirmed via email) and other costs if applicable. Participants will be given five (5) business days to complete this. Failure to complete this part of the process within the time frame can result in participant’s placement and contract being forfeit with no refund permitted.

  9. At this stage our partner’s terms and conditions will also be explained in full via email by our partner (already discussed in the initial screening interview and confirmed via email) by J1 Warehouse or the partner. After this point for any reason under any circumstances before during or after participant’s placement their J1 Warehouse fees are non-refundable.

  10. Once all supporting documents and fees have been paid, the visa paper work (if applicable) and/ placement contracts will be sent to clients to confirm acceptance into program.

  11. After this point J1 Warehouse will be happy to continue to work with participants and answer any questions you may have, however our 3rd parties typically take over the process.

Article 5(b) Placement Process- Self Placement (Applies only to U.S. Internships)
  1. Participants contacting J1 Warehouse seeking sponsorship for a placement for which they have already been hired and selected the participant must have also researched and secured their own housing, if not J1 Warehouse may be able to provide Housing assistance at an additional cost which will be covered in your screening interview . Placement and position information will be required to confirm the eligibility of the placement as well as other J1 Warehouse’s application information.

  2. Should participant’s applications and placement information pass the initial screening participants then take part in an initial J1 Warehouse screening please see Article 5 (a). The placement information will also be reviewed.

  3. If the company has less than 25 fulltime employees and a turnover of less than $3 million per year, a site visit organized by our US partner needs to be scheduled to ensure the reliability of the company. This will incur an additional cost of $300 excluding VAT, which must be paid by the applicant. Arranging a site visit takes approximately 1-2 weeks. Only placements that meet J-1 Department of State and J1 Warehouse regulations will be considered for vetting.

  4. Should participants pass J1 Warehouse initial screening J1 Warehouse will then require a $ 100 or € 100 deposit in addition to your placement information (the placement contact should also provide J1 Warehouse with all required documentation) and a letter of offer to move forward with screening for a J-1 sponsorship placement. This is due within ten (10) business days after confirmation of a successful screening interview.

  5. After approving a participant’s application and receiving supporting documents J1 Warehouse will work with our partners to secure either or both a Sponsorship interview with a J-1 sponsor and then an interview with a host training property. Should participant’s documents not support information provided in the initial screening interview J1 Warehouse reserve the right to decline participants and retain the initial J1 Warehouse deposit. Participants may be offered the opportunity to transfer to a J1 Warehouse placement however an administration fee may be applicable ( Article 3)

  6. Once a participants placement ( please note starting up the process does not guarantee an approval of the visa).is confirmed participants will be required to complete and sign program paper work, pay remaining visa and program fees (discussed in the initial screening interview and confirmed via email) and insurance if applicable. Participants will be given five (5) working days to complete this; failure to complete this part of the process within the time frame can result in participant’s placement and contract being forfeit with no refund permitted.

  7. At this stage our partner’s terms and conditions will also be explained and signed. After this point for any reason under any circumstances before during or after participant’s placement their J1 Warehouse fees are non-refundable.

  8. Once all supporting documents and fees have been paid the visa paper work will be sent to participants to be able to schedule an US embassy interview.

  9. Please note no refund of the J1 Warehouse fee will be given for embassy denials; however other program fees paid to 3rd parties may be refundable as per the 3rd parties’ terms and conditions.

Article 6 Extension and Reapplication of J-1 Visa

If the participant decides to extend the stay of the placement, the visa extension must be done through the services of J1 Warehouse.  If a new J-1 visa category is to be processed, it must also be done through the services of J1 Warehouse.

Article 7 Mediation and Introduction Services

All J1 Warehouse programs are provided by 3rd parties apart from our United Kingdom Internship program. 

 

We are an introductory mediation service where we work to transform eligible client’s applications into successful International Hospitality placements in the country and hotel of your choice. We work with our 3rd party international programs to match them with our clients and get the best possible rate.

 

Our competitive mediation fee is the same for each program. Our mediation fees include:

  • Application screening

  • CV review and editing

  • Vetting all necessary documents for your placement

  • Interview and feedback

  • Education on programs and representation of your application to 3rd parties

 

All candidates are sent 3rd party contracts after initial screening which are separate to J1 Warehouse terms and conditions and a direct contract between you and our 3rd party programs.

 

No contract with 3rd parties will be in place for the United Kingdom Internships. We work directly with Host Properties in the United Kingdom and you will get a contract directly from the property.

Article 8 Mediation and Partner Fees 

All programs require a $ 100 or € 100 Application Fee, which is due after a successful first interview and is due within 5 business days after the interview. This fee is to confirm you are serious about your application and wish to move forward. This also includes an initial deposit that 3rd parties may charge, for which J1 Warehouse takes responsibility.

 

After a successful interview with a Host Property/ Sponsor the remaining fees are due within 5 business days after confirmation of successful placement from the Host Property/ Sponsor.

 

Refunds:

The Application Fee($ 100 or € 100) is refundable should no placement/ sponsorship interview take place and J1 Warehouse can’t find a placement within 3 months of application. If changes to your application have been made or Client has been dishonest or untruthful in the initial screening or other communication with J1 Warehouse, J1 Warehouse will review the status of your refund.

 

The Remaining Fees are non-refundable after Host contract has been signed by Client.

 

For 3rd party Partner fees there will be separate Terms and Conditions completed by our clients which are fully explained and sent in a contract.
